Airbnb guest management in Dubai: a host's guide (with message templates)
Great guest management is what turns a nice apartment into a 5-star listing. Here's how Dubai hosts can handle every stage, from booking to review, plus ready-to-copy message templates you can adapt today.
From experience: Arya has spent three years managing holiday homes in Dubai Marina, JBR and Downtown. This is the system we recommend to owners who host their own apartments.
The guest journey at a glance
| When | What to do |
|---|---|
| Booking confirmed | Thank the guest, confirm the details, and ask for what you need for registration |
| 2–3 days before | Send directions, parking and building information |
| Check-in day | Send clear self check-in instructions in the morning |
| First evening | A short "settled in?" message |
| During the stay | Reply fast and fix issues quickly |
| Day before checkout | Checkout instructions and a thank-you |
| After checkout | Review the guest, and invite them to review you |
Before the booking: set expectations
Most bad reviews come from a gap between what the guest expected and what they found. Close that gap before anyone books:
- Accurate photos and description: show the real view, the real size and any quirks. Don't oversell.
- Clear house rules: maximum guests, no parties, no smoking, quiet hours, and anything specific to your building.
- Check-in details up front: times, self check-in method, and parking.
- Honest location notes: walking time to the metro or beach, and any construction nearby.
When a booking comes in
- Read the guest's profile and reviews. Check that the number of guests and the purpose of the trip fit your home and rules.
- Collect what you need for DET registration early. Every guest must be registered with DET at check-in with their passport or Emirates ID details, so ask for them before arrival rather than at the door.
- Check your building's requirements. Many Dubai towers ask for visitors to be registered with security or need access cards. Know the process and tell the guest in advance.
Pre-arrival and check-in
Check-in is the guest's first real experience of your home, and the moment most likely to go wrong. Make it effortless:
- Send step-by-step instructions with photos: the building entrance, lift, door and lock.
- Include the Wi-Fi details, parking and building rules in the same message, so guests don't have to search.
- Send it on the morning of arrival, so it's at the top of their messages when they need it.
- Have a backup plan if the smart lock or key box fails: a spare key someone can bring, or a phone number that will be answered.
During the stay
- Reply fast. Response time affects your ranking and your reviews. Saved replies make it easy.
- Fix problems before they become reviews. AC, hot water and Wi-Fi issues are the most common in Dubai, so keep a trusted AC technician, plumber and handyman on speed dial.
- A house manual answers most questions before they're asked: appliances, rubbish, the pool and gym, quiet hours, and emergency contacts.
- Don't over-message. One check-in message is friendly. Daily messages feel intrusive.
Checkout and reviews
- Keep checkout simple: a few clear steps (keys, rubbish, AC off), not a list of chores.
- Inspect promptly after checkout. If there is damage, take photos straight away and use the platform's damage claim process within its time limits.
- Review every guest, and invite them to review you in a short, warm message.
- Reply to every review publicly, including the negative ones. Calm, helpful replies reassure future guests.
Handling difficult situations
| Situation | What to do |
|---|---|
| Noise complaint from neighbours | Message the guest straight away, politely but clearly, referring to the house rules and quiet hours. Follow up if it continues. |
| More guests than booked | Remind them of the booking limit and building rules, and involve the platform's support if needed. |
| Something breaks | Apologise, give a clear timeframe, send your technician, and follow up once it's fixed. |
| Guest can't get in | Answer immediately, use your backup plan, and send a goodwill gesture if the wait was long. |
| Unfair negative review | Reply once, calmly and factually, and thank them for staying. Never argue in public. |

Can I handle guest management myself?
